Operations Coordinator

Full-Time

Responsibilities include working closely with the Operations Manager to manage, prepare and process all project documents, forms, logs, and correspondence for Mainstream Medical Devices “MMD” as instructed to support MMD clients. Collaborate with internal team and clients as needed to communicate changes, corrections, or special handling required to process and delivery products for the client. The coordinator will perform various tasks, including packing and shipping outgoing products to test labs and sterilization companies. The coordinator will also assist with any additional administrative duties the Project Manager requests to support the manager and MMD client(s). You will also collaborate with the client(s) and internal teams to communicate changes, special handling, or corrections to any process associated with CMD. 

 

Essential Functions:

  • Creation of manufacturing and quality documentation
  • Update Production Schedule and Calendar. Communicate with the Production Manager as well as Quality on a daily basis.  
  • Create and maintain Client Files in the Production Folder. 
  • Update and maintain Mainstream and Client spreadsheets as applicable. 
  • Complete all necessary documents for sterilization of products. 
  • Submit DHR to client for approval.  
  • Prepare all forms necessary to ship products to sterilization and send out end user kits. 
  • Correspond with internal team as well as clients as required.
  • Perform special projects and other duties as assigned. 
  • Input/coordinate data and information into ERP system

Position Requirements:

  • Operations/manufacturing, project management, inside sales experience: Minimum 5 years work experience or equivalent.  
  • Knowledge of all Microsoft suite programs, Outlook, Adobe, and Teams 
  • Proficiency with Microsoft Office, Adobe and Teams 
  • Well-developed written and oral interpersonal skills. 
  • Detail-oriented with excellent organizational skills 
  • Experience with FedEx and USPS.
  • Operate office printers and copiers. 
  • Ability to communicate concisely, clearly and accurately; Represent Mainstream mission, vision and values to clients.
